Description of Duties:
Under the supervision of the Unit Supervisor, the incumbent will perform the following duties :
- Assist in the provision of logistical and administrative support in the acquisition of a wide variety of good and services in accordance with the UN Financial regulations and Rules and Procurement manual.
- Review, record purchasing requests and obtain additional information/documentation as required;
- Assist in preparation of tender documents (e.g. Invitations to bids, Requests for Proposals and request for Quotation) based on the nature of requirements and cost of procurement involved.
- Assist in preparation of bid abstracts and compilation of data contained in quotations, proposals and bids to determine which supplier can deliver the required goods/services in accordance with the UN Procurement Manual.
- Assist in finalizing purchase orders and contracts for approval by the Supervisor or the Chief Procurement Officer;
- Expediting to ensure timely delivery of goods and services and ensure appropriate follow up action, etc.
- Maintain relevant internal databases and files; keep tract of any contractual agreements, systems contracts, etc. And inform affected users of contractual rights and obligations.
- Assist in the retrieval of data information, the formatting and issuance of various reports.
- Assist in the transmission of correspondence to other sections and vendors by fax, email, digital sender, the retrieval of correspondence, documents and other records from the case files and chrono files.
- Draft routine correspondence.
- Performs other tasks as assigned by the Unit supervisor.
Qualifications:
- Education: High School diploma or equivalent. Certification/diploma or other supplemental academic qualifications or training in business administration or procurement would be considered an asset.
- Experience: At least 5 years experience in procurement, law, engineering, real estate, accounting or related area.
- Languages: English and French are the Working Languages of the United Nations /MONUSCO. For the post advertised, fluency in oral and written English is required.
- Other Skills: candidate should have ability to work productively under pressure and cope with deadlines. Previous experience in working with international agencies would be considered an asset.
