Responsibilities: Within the limits of delegated authority and under the direction of the Chief Contracts management Officer, the Contracts Management Clerk:
- Support the work of the Contract Compliance and Performance Management Section (CCPMS) to ensure the effective implementation and maintenance of the archiving system;
- Assist in the establishment and maintenance of the CCPMS filing system, in co-ordination with respective staff;
- Organize and update the filing systems to ensure effective staff access to information;
- Prepare all documentation including data entry into Log system;
- Assist in maintaining up-to-date work files (both paper and electronic) including files of rules, regulations, administrative instructions and other related documentation;
- Assist in updating and maintaining the consolidated CCPMS database;
- Collect all outgoing correspondence and documents and deliver them to right processing section or contractor;
- Distribute the documents reviewed by CCPMS to the appropriate unit or staff for action;
- Deliver outgoing internal and external correspondence;
- Register, handle and maintain the CCPMS daily correspondence, control incoming and outgoing files;
- Assist in the processing of incoming requests for ID cards, mobilization/demobilization of contractor personnel, including validation of requests against contract terms;
- Assist the CCPMS staff in making photocopies and scanning documents;

Qualifications:
Education: High school diploma or equivalent. Relevant training in administration management and logistics management is desirable.
Experience: At least 2 years of experience in in office administration is required. Relevant experience with regards to contracts, especially in an international peacekeeping or relief operations is desirable.
Language: English and French are the working languages of the United Nations. For the post advertised, fluency in oral and written French is required. Fluency in oral and written English is an added advantage.
