Description of Duties : Under the supervision of PID Administration, the Administrative Assistant of the unit will be responsible for the following duties:

  • Performs a wide range of office support and administrative functions of the division.
  • Drafts routine correspondence and other communications as requested; uses standard Word, Excel and PowerPoint processing package to produce intended reports.
  • Screens phone calls and visitors; responds to information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
  • Records, distributes and/or processes mail documents; follows-up on impending actions.
  • Performs general administrative tasks (e.g. leave monitoring for national  staff, processing monthly  attendance-sheet s  and other tasks,  relevant to PID daily administration)
  • Maintains personal files of local staff.
  • Provides guidance to less experienced staff on general office processes and procedures, etc.
  • Assisting to Budget & Finance related tasks of the PID administration.
  • Performs other duties as assigned.

Work implies frequent interaction with the following:

* Staff working within PID and in the sectors including Radio Okapi and client of the Division.

* Staff working in the HR section, Supply section, Budget & Finance.

Results Expected:  Contributes to the effectiveness & efficiency of the Department/unit by providing administrative support in the assigned area of responsibility.

v Qualifications

  • A high school diploma or the equivalent combination of education and experience in administration environment
  • Excellent interpersonal skills
  • Willingness in working in a complex environment
  • Previous experience in working with international agencies in the DRC, would be an asset
  • A minimum of 4 years of work experience within UN System or in the field of administrative services is an advantage.
  • Ability to manage sensitive information
  • Language: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written French is required. Knowledge of another official United Nations language is an advantage
